Privacy Policy
Introduction and Scope:
Patriot Logistics ("Patriot," "we," or "us") is committed to protecting the privacy of our business customers. This Privacy Policy explains how we collect, use, and safeguard information in the course of providing B2B freight and logistics services within Alaska. Our services are exclusively for commercial clients – we do not provide personal or residential shipping. By using Patriot's services or website, you ("Customer" or "you") consent to the data practices described in this policy. This policy applies to information collected through our website, online and offline communications, and any services we offer. It does not apply to personal/household shipments, as we do not service those.
Information We Collect:
We only collect essential business information required to operate our freight and logistics services. This may include:
- Business Contact Details: Names, job titles, work email addresses, phone numbers, and company names of client representatives.
- Shipping Information: Business addresses for pick-up and delivery, shipment contents descriptions (for freight logistics purposes), package dimensions/weight, and any documentation required for transportation (e.g. bills of lading or commercial invoices).
- Account and Communication Data: If you create an account or communicate with us, we may collect login credentials, customer IDs, and records of correspondence (emails, call logs) to manage your account and customer service requests.
- Billing Information: Payment-related information such as company billing address, purchase order numbers, or transaction details. (Note: For credit card payments, we use compliant third-party payment processors – Patriot does not store full credit card numbers on our own servers for security).
- Website Usage Data: When you visit our website, we may collect basic technical information such as your IP address, browser type, and pages visited. We may also use cookies or similar technologies to remember your preferences and analyze site traffic. This usage data is generally collected in aggregate and is not linked to your identity, but it may be associated with your business account for functionality (e.g. keeping you logged in or remembering form inputs).
We do not seek to collect sensitive personal data or any information not relevant to shipping services. We do not knowingly collect any information from individuals under 18, and our site and services are not directed to minors.
How We Use Your Information:
Patriot Logistics uses the collected information solely for legitimate business purposes in operating our freight and logistics services, such as:
- Service Delivery: Using contact and shipping information to schedule pickups, transport freight, track shipments, and deliver goods to the proper business recipient. For example, we use addresses and contact names to ensure freight reaches the correct location and person.
- Communication: To contact you regarding shipment updates, delivery confirmations, service announcements, and responses to inquiries or support requests. We will use your email or phone information to provide timely updates (e.g. notifying you of weather delays or confirming a delivery).
- Business Operations: To manage billing and payments, maintain our customer accounts, and fulfill administrative functions. For instance, we use billing addresses and invoice details to process payments and maintain proper financial records.
- Service Improvement: To analyze and improve our operations and website. We may utilize website usage data and analytics to understand how clients use our online tools, so we can enhance user experience, optimize routes, or add useful features. Any analytics data is typically aggregated and used to make strategic improvements – it is not used to personally profile individual users in a marketing sense.
- Legal and Compliance: To comply with applicable laws and regulations, such as transportation safety rules or record-keeping requirements. For example, we may retain shipping records as required by law, or use personal identification info if needed to meet TSA "known shipper" requirements for air cargo security. We may also use or disclose information as necessary to protect our rights (e.g. to enforce our terms or to prevent fraud).
We will not use your data for purposes unrelated to our freight services without your consent. Specifically, Patriot does not sell your personal or business information to third-party marketers, and we do not engage in unsolicited personal marketing. Any marketing communications from us will be oriented to our business services and sent only to our business contacts, who can opt out at any time.
Cookies and Analytics:
For website visitors, Patriot may use third-party analytics services (such as Google Analytics) to collect information on how our site is used. These services may set cookies or use similar identifiers to gather usage data like pages visited, time spent on site, and referring websites. We use this information to improve site functionality and content. You can control or delete cookies through your browser settings; however, note that disabling cookies might affect certain website features (for example, login sessions or preference settings). Any analytics data collected is processed in accordance with this Privacy Policy and is used only for our internal purposes. We do not allow third-party analytics providers to use the data for their own unrelated purposes. Additionally, our website may employ basic functionality cookies to remember your selections and make your browsing experience more convenient (such as keeping you logged in to a client portal, if applicable).
Third-Party Service Providers and Sharing:
Patriot Logistics may share your information with trusted third parties only to the extent necessary to carry out our services and business operations. These third parties are bound by confidentiality obligations and applicable data protection laws. Key categories of third-party service providers we use include:
- Logistics Partners and Carriers: We work with partner carriers, subcontractors, and agents (for example, air cargo companies, local delivery agents, or warehousing services) to fulfill shipments in remote areas or specialized segments. We will share only the information required for them to perform their portion of the service – typically shipping details and contact information for delivery. These partners are obligated to use the information solely for fulfilling Patriot's shipments and to protect it per our agreements.
- Payment Processors: As noted, if you pay for services via credit card or electronic transfer, your payment details may be handled by a secure third-party payment gateway or financial institution. Those providers process your payment information under strict standards (e.g. PCI-DSS compliance) and only as needed to complete the transaction – Patriot itself does not store your sensitive payment card data.
- Technology Providers: We utilize reputable third-party software and cloud services to support our operations – for example, a Customer Relationship Management (CRM) system to organize client accounts, an analytics service to track website performance, or cloud hosting services for our website and databases. These providers may process or store business contact information or usage data on our behalf. Patriot ensures such providers are under contract to only use data for our specified purposes and to safeguard it appropriately.
- Legal or Regulatory Disclosure: We may disclose information to third parties (such as government agencies, law enforcement, or courts) if required to do so by law or legal process, or if we believe in good faith that such disclosure is necessary to (i) comply with a legal obligation (for example, providing shipping records under a lawful request), (ii) protect our rights, property, or safety or that of our customers or others, or (iii) investigate and help prevent security or fraud issues.
- Business Transfers: In the unlikely event that Patriot Logistics undergoes a major business transaction such as a merger, acquisition, or sale of assets, the information we have collected may be transferred to the successor entity. If such a transfer occurs, we will ensure the new owner is bound to respect the terms of this Privacy Policy, and we will provide notice on our website or to affected customers if their data is to be transferred or becomes subject to a different privacy policy.
Importantly, Patriot Logistics does not sell or rent your personal information to data brokers or marketing companies. Any third parties we share data with are service providers or partners integral to our operations, and they will only receive information on a need-to-know basis for the purposes described above.
Data Retention:
We retain personal and business information for only as long as necessary to fulfill the purposes outlined in this policy or as required by law. In practice, this means:
- Account and Contact Information: retained for the duration of our business relationship and for a reasonable period thereafter. Even if you stop using Patriot's services, we may keep basic contact details on file for a period (for example, to maintain records of transactions, to facilitate re-engagement, or as needed for legal compliance).
- Shipping Records: retained to satisfy legal, regulatory, and insurance requirements. For instance, we may keep shipment documentation and delivery records for a number of years as required under transportation regulations or tax laws.
- Communications: emails or call logs may be archived for internal record-keeping and to help us service your account (for example, knowing your service history). These will be purged periodically in accordance with our data retention schedules.
- Analytics Data: generally retained in aggregate form. Web analytics and cookies data may be retained for a shorter period (e.g. 12-24 months) for trend analysis, after which it may be deleted or anonymized. Individual-level web data (to the extent it exists) is typically not stored long-term.
When information is no longer needed, we will securely delete or anonymize it. For example, paper records are shredded and electronic data is permanently erased or aggregated. We also adhere to any specific data retention and disposal obligations under Alaska law – such as the Alaska Personal Information Protection Act's requirements for safeguarding and properly disposing of records containing personal information.
Data Security:
We take reasonable administrative, technical, and physical measures to protect the information we collect from loss, misuse, unauthorized access or disclosure, alteration, and destruction. These measures include, for example, using secure servers with firewall protection, encrypting sensitive data (such as payment transactions) with SSL/TLS, and restricting access to personal data to authorized personnel who need it to perform their job functions. We also train our staff on data privacy best practices and require our service providers to uphold strong security standards. While we strive to protect your information, please note that no method of transmission over the Internet or method of electronic storage is 100% secure. Therefore, we cannot guarantee absolute security of data. In the unlikely event of a data breach that compromises your personal information, Patriot Logistics will promptly notify affected parties and relevant authorities as required by law (for example, we will follow Alaska's data breach notification laws and any other applicable regulations to ensure you are informed and protected).
Your Rights and Choices:
Because Patriot Logistics deals primarily with business-to-business data, certain consumer privacy laws (like the California Consumer Privacy Act or GDPR) may not directly apply to the information we collect. However, we are committed to honoring reasonable requests regarding your information. As our customer or site user, you have the following choices and controls:
- Access and Update: You may contact us at any time to inquire about the information we hold about you or to update/correct it. For instance, if your business contact or address changes, let us know and we will update our records. Keeping your information accurate helps us serve you better.
- Opt-Out of Communications: If we send you any marketing communications (such as newsletters or service updates) you can opt out by using the unsubscribe link in the email or contacting us. Note that we will still send operational emails related to active shipments or invoices, as those are essential to the service.
- Request Deletion: You can request that we delete the personal information we have about you. Provided we do not have a legal obligation or overriding business need to retain it (for example, open invoices or mandatory record-keeping), we will make commercially reasonable efforts to erase your information. Do understand that deletion of certain data might prevent us from providing ongoing services to you (for example, if you ask us to delete your account information, you will not be able to use the account without re-registering).
- Cookies: As mentioned, you can control cookies through your browser settings. You may also opt out of Google Analytics data collection by using a browser add-on provided by Google, if you wish.
To exercise any of these rights or if you have privacy-related requests, please contact us using the information in the "Contact Us" section below. We will respond to requests within a reasonable timeframe and in accordance with applicable law. Note that for security, we may need to verify your identity or authority (if you are making a request on behalf of your company) before fulfilling certain requests.
International Data Considerations:
Patriot Logistics is based in Alaska, USA and conducts business exclusively within Alaska. We do not actively target or serve individuals outside the United States. If you are accessing our website or sending us information from outside the U.S., please be aware that any information you provide will be transferred to and processed in the United States (specifically in Alaska or other states where we or our service providers operate). The data protection laws in the U.S. (and Alaska) may differ from those of your country of residence. By using our services or website, you consent to the transfer of your information to the U.S. for processing and storage. We will handle your information in accordance with this Privacy Policy regardless of location, and we will take appropriate measures to protect it during any such transfer.
Changes to This Privacy Policy:
We may update this Privacy Policy from time to time to reflect changes in our practices, operational needs, or legal requirements. When we make changes, we will post the revised Privacy Policy on our website with a new "Last Updated" date. If changes are significant, we may also provide a more prominent notice (such as an email notification to our clients or a banner on our site). It is your responsibility to review this Privacy Policy periodically to stay informed of our data practices. Your continued use of Patriot Logistics services or website after any changes to this policy constitutes acceptance of the updated terms.
